Starfish Update 12/18/23

Hello Shoreline Faculty & Staff,

The Starfish team would like to provide you with a brief update:  as we continue to work with TSS toward full restoration, we want to make sure that Starfish is still supporting important college initiatives. With the winter calling campaign beginning this week, we are therefore sending another partial snapshot of Starfish user data on Tuesday, December 19th!  As a reminder, there have been two manual updates so far: the first on 7/28, and the second on 9/13.   We will be assessing in the coming weeks whether to do a second update early in the winter quarter.

The following items will update:

  • Full Starfish profiles will be generated for students who are enrolled in classes as of December 12/15. These students will be able to log in and book appointments in Starfish directly.
  • Any students who have been assigned to an advisor in CtcLink by 12/15 will now be connected to that advisor in Starfish.
  • Students’ class enrollments as of 12/15 will be reflected in Starfish. Please note that no subsequent add/drop activity will be reflected until the Starfish-CtcLink connection is fully restored.
  • New staff who were hired by the college by [FILL IN DATE HERE] may be able to receive Starfish permissions. If your area is already using Starfish and has recently hired new staff who need access, please contact Caitlin Jacques at cjacques@shoreline.edu

The following items will NOT update:

  • Students who have applied to the College since the ransomware incident but have NOT enrolled will not gain access, as they lack network IDs. Only students enrolled in classes as of 12/15 will be in Starfish.
  • Student attributes and organizations will not update – information seen on the overview and info tab will still be incomplete or out of date. Please refer to ctcLink rather than Starfish for this information, and do not attempt to use the filter function in Starfish until further notice.
  • Staff who have demographic or organization-specific relationships with students in Starfish may not be connected to all of the students they work with. This includes groups like Veteran and Military Student Services, Transitional Studies, and Workforce Funding. Impacted students will include both those new to the college since March 20th and any students who have been recoded into impacted groups since that date.
  • Information will not update in real time after the import – changes made after 12/15 will not be reflected in Starfish until the Starfish-CtcLink connection is fully restored.

When will I see the updates?

  • Barring any unexpected technical complications, Starfish will be updated on 12/15
  • The Starfish Admin will merge duplicate prospective student profiles by the end of business day after the manual update.
  • The announcement banner in Starfish will be updated once the data import is complete.

When will the Starfish-CtcLink connection be fully restored?

Repairing the connection is dependent on the restoration of the College’s servers.  While TSS is hard at work on this task, we are unable to provide an exact timeline until further notice.  We will send an all-campus message when we have more information about the timeline.

This is the third manual update. Can’t we just do this regularly until the server is back?

  • As previously mentioned, the manual upload is a very complex process for both the College and EAB, so it isn’t something we can do frequently.

Thank you all for your patience as we continue to work with Starfish users to maintain as much functionality as possible. As always, if you have any questions about this or anything else Starfish related, please feel free to reach out to me!

Wave of Gratitude for Taraji Belgacem

A Wave of Gratitude to Taraji Belgacem of ENG/GED/ABE/ESL/Communication for Inclusive Excellence and Student Engagement. I want to extend a massive thank you to Taraji for all her work, and specifically for her focus on student success! Taraji has been proactive in partnering with other departments/divisions to ensure the success of her students, most recently, by making time to work with the eLearning team to develop processes that support ESL students in their time at Shoreline. Thank you, Taraji, for all you do for your students and our community here at Shoreline! MJ Tomer of eLearning.

Microsoft Teams VOIP Phone System Update

Hello College Campus Community,

We just wanted to send a reminder regarding the new Microsoft Teams VOIP phone system.  As we have now rolled this out to most departments across campus, please remember when calling or forwarding calls to Shoreline phone numbers, please use the full 10-digit phone number. The previous 4-digit abbreviated dialing will only work on the old phone system and does not translate to the new Teams system. However, in Teams, you can look up the person by name to transfer or call directly, so it is unnecessary to know the full 10-digit number for all Shoreline contacts. TSS will come around sometime after the new year to collect the old desktop phones that are still around campus.  We thank you for your attention to this and hope you have a wonderful weekend.

Thanks!

Jason Brandon
