This is an exciting time of year for our students. It takes the efforts of many to put on Commencement, and we are putting out a call for volunteers to serve as ushers as well as others to help set up before and/or clean up after the reception that follows the ceremony on Thursday, June 21. Classified staff will need to get approval from their supervisor to volunteer for the ceremony. Due to the Commencement Ceremony occurring within the work week, staff are encouraged to work with their supervisors to flex the time within the week.

Enrollment in 8-week Summer Quarter Classes—beginning on July 2, 2018

• Friday, July 6, 2018, is the last day for students to add regular 8-week Summer Quarter classes
• Online registration ends on July 6, 2018 (see Important Dates)

Enrollment in Fast Track Summer Quarter Classes—4 weeks or less beginning on various dates

• The last day to add a Fast Track class is the day before the start date for the class that is listed in the published class schedule
• After July 2, 2018, enrollment in Fast Track classes must be in person during business hours, or by emailed request to regdl@shoreline.edu received by the close of business on the day before the listed start date for the class

Late Enrollment for Summer Quarter Classes

• For regular 8-week Summer Quarter classes, Petitions for Late Enrollment may be submitted Monday, July 9, through Wednesday, July 11
• For Fast Track Summer Quarter classes (4 weeks or less), Petitions for Late Enrollment may be submitted up to one instructional day after the published start date for the class

Late Enrollment at Shoreline

Late enrollment is permitted in rare and unusual circumstances only. Enrolling after the last enrollment day for any course requires submission of a Petition for Late Enrollment. The petition must be filled out completely and signed by the student, the relevant instructor(s), and the relevant dean before it is submitted to Enrollment Services.

With instructor approval, exceptions to late enrollment deadlines include:

• Re-enrolling in classes that have been dropped for non-payment
  • Changing to a different section of the same course with the same instructor
  • Changing levels of ESL when the change is initiated by the instructor
  • State employee and senior citizen tuition waivers
  • Enrollment into continuous-enrollment courses

Students enrolling under these exceptions should use the Schedule Change Form.

Dear Colleague,

Congratulations to all of us on making 2017-18 such a successful academic year! I am so thankful for each and every Shoreline employee for your work in helping our students succeed. As some of you prepare for different activities and schedules this summer, I want to take a moment to acknowledge how much we’ve grown this year – both in numbers of students served, as well as, in the ways we have collectively worked together, with a willingness to meet new challenges head on and build stronger connections with one another. Before this busy quarter concludes, here are some important updates and shared accomplishments.

STRATEGIC PLAN GOAL 1: We attract students and community learners and ensure successful attainment of their goals through our programs, services, and teaching and learning environments.

Student Enrollment Update
Our positive enrollment news is that for the third straight year we have increased domestic enrollment by at least 100 FTEs! In a quarter-by-quarter comparison to the 2016-17 academic year, Summer, Fall, and Winter had significant enrollment gains, with a slight decrease in Spring resulting in a 3% increase in annual FTES (+102). System wide, the average of state-supported FTEs was -2%, which puts our enrollment growth in an even more positive light. International enrollment continued to decrease statewide and our international contract FTEs were down for the year by -4% (46 Annual FTEs), however we still were able to outperform the statewide average. Over the course of the summer, we will be analyzing current enrollment trends and developing action plans to be implemented in the 2018-19 academic year to ensure that we continue to meet our enrollment targets.

Personnel Changes
On Friday, June 8, the College celebrated the retirement of 17 College employees who contributed a total of 310 years of service at Shoreline! The reception was a lovely reminder of how many people have dedicated their time and efforts to help shape Shoreline into what it is today. As we say a fond farewell to some of these familiar faces, we also welcome some new faces to the College. In May, Gloria Ngezaho joined us in a newly created role of Executive Director of Employee Engagement, Equity & Organizational Development. In July, we will welcome two new instructional deans to the campus: Aparna Sen as Dean of HO/PE and Business, and Nancy Dick as Dean of Humanities.

Commencement 2018
It’s time to celebrate our students! As you know, Commencement will take place on Thursday, June 21 at 6 p.m. in the Gym. The Commencement Committee has been working hard to coordinate a wonderful and memorable ceremony for our students and their families. If you would like to volunteer to assist on the day of the ceremony, please work with your supervisor and complete the volunteer form. If you have any questions, please contact Sarah Pearce.

Lecture Series Ideas
Thank you to all those who made time to join in a brainstorm on the topic of lecture and program offerings at Shoreline. Moving into the coming academic year, we are looking to accomplish two complementary goals: First, to be strategic in offering programming consistent with Inclusive Excellence and our Strategic Plan, and second, to continue to support faculty- and student-driven programming as the core of our College offerings. In our first discussion, there were 25 attendees and strong enthusiasm for continuing the discussion and opening it up to more participants. Please join EVP Alison Stevens at either or both of the following sessions: 12:00 – 1:30 p.m. or 5:00 – 6:00 p.m. on June 20, 2018, in room 1715.

STRATEGIC PLAN GOAL 2: We continually strive for disciplined excellence and focused improvement in all that we do.

Summer Operating Hours
As noted in an earlier DAAG post, the College will shift to summer hours following the July 4 holiday week. Beginning Monday July 9^th through Friday, August 31^st, the College’s public operating hours will be Monday through Thursday from 8:00 a.m. – 5:00 p.m., and Friday from 8:00 a.m. to 12:00 p.m. Supervisors are responsible for working with their department staff to confirm summer schedules that meet the business needs of the College, as well as helping to inform the general public and Shoreline community of the upcoming change in our summer operating hours. Please discuss and confirm your summer work schedule with your supervisor, and ensure your updated summer schedule is entered into the TLR system by the first week of July 2018. Questions regarding the change in business hours and/or with staff schedules can be directed to Human Resources.

Faculty Professional Learning
To deliver on our commitment to provide outstanding teaching, learning, and support services to our students, we provided 10 hours of trainings for all academic employees. Faculty completed training in each of the following categories: FERPA, Title IX, Accessibility, Equity and Inclusion, and Student Engagement. Over 3800 total hours have been completed by 363 faculty members (233 part-time and 133 full-time) and among the statewide Accessibility 360 group, Shoreline is leading the way in training for faculty. We are looking forward to refining our existing trainings and developing new offerings for the 2018-19 academic year supporting faculty professional development and student success.

Capital Projects Update
The College currently has three capital projects in various stages of development. Construction of our student residence hall began at the end of May and is scheduled for opening in Fall 2019. This building, located in the former PUB parking lot, will have 216 beds in 68 units, as well as a great room, courtyard, and other amenities that can be used by the entire campus and surrounding community. Our allied health, science, and advanced manufacturing complex will replace Buildings 2400, 2500, 2600, 2700, and 2800 and will be located in approximately the same space that those buildings currently occupy. It is currently scheduled to begin construction in July 2019, subject to inclusion in the 2019–21 state capital budget. Construction is expected to take two years, for occupancy in late summer 2021. Finally, our third anticipated building will replace Buildings 800, 2200, and 2300 and will be located on the current site of Buildings 2200 and 2300. We do not have a timeline for predesign, design, or construction at this point, but we expect it to begin sometime within the next four to six years.

Counseling Center Remodel
We are excited to have the Counseling Center remodeled to better meet the needs of our students. During July and August, the Counseling Center will be temporarily relocated to the Advising office while the remodel takes places. For more information, please contact Sheryl Copeland.

Strategic Planning Steering Committees
As with last year, this year of planning has resulted in further development of actions for our five-year strategic plan. In our Campus Update on Friday, May 18, we heard from each of the steering committees and had an opportunity to share feedback. (In case you missed the Campus Update, you may watch the video recording.)

The steering committees’ work will again be reviewed and prioritized by the Executive Team over the summer. The committees and councils will then resume their work in the fall, when we’ll focus on completing the remaining years of the plan. You are invited to apply to serve on a Strategic Planning Steering Committee or Council. The deadline to apply is Friday, October 5.

Website Improvements
Important work on the College website continued in spring quarter, with a focus on finalizing program taxonomy, designing an attractive site-wide style that will meet our accessibility requirements and reflect our new college identity, implementing database-driven contact information and faculty bios, and rolling out new website training materials and protocols. The web team will continue building the new program page templates in the summer and working with instructional divisions on the content in the fall. You’ll start seeing some major changes to the site this fall, with the full migration taking place at the end of the calendar year. We appreciate your patience as we build a clearer, more welcoming website for all.

Employee Communication
As part of our continued work around strengthening employee communication, the Communications, Marketing, and Community Engagement strategic planning steering committee sent out an employee communication survey last week. If you haven’t already, please be sure to complete the survey before the end of the quarter to share your thoughts, ideas, and feedback.

STRATEGIC PLAN GOAL 3: We ensure that a climate of intentional inclusion permeates our decisions and practices, which demonstrate principles of ecological integrity, social equity, and economic viability.

Fall Convocation, Opening Week, Fall Term, and Spring Day of Learning
We will continue our new approach to extend learning together throughout the next year. Beginning this fall, we will start Opening Week activities on Thursday, September 20 with a new faculty orientation in the morning followed by division and department meetings in the afternoon. Fall Convocation will take place on Friday, September 21. We will have a full schedule of professional learning and engagement continuing on Monday, September 24 with a History of Place Nature Walk from 12:00 – 1:15 p.m. Bring your lunch and enjoy strolling and hearing about the rich history of our campus. Later that afternoon, the College will gather to welcome our new employees who have come to the college since our last Fall Convocation. Tuesday afternoon, faculty will have time to gather and the Faculty Senate will meet. Fall quarter classes begin on Wednesday, September 26. Mark your calendar for our additional Day of Learning on Friday, April 26, 2019.

Update on the Lactation Space
The temporary lactation space on the first floor of Building 3000 has continued to thrive with regular student and staff use this quarter. While a dedicated lactation space in the Counseling Center is on track to open in Fall 2018, staff are encouraged to continue to share the temporary location with our campus community in support of our working parents and students. The space is equipped with lounge chairs, refrigerator, and a private restroom, and is accessible with a key checkout from the Athletics help desk. Employees are also reminded that they can reach out to Human Resources at any time for individual support of lactation space at work.

Behavioral Intervention Team Name Change
Behavioral Intervention Team (BIT) is now the Care Team! Information on the website will be updated this summer and more information will be shared during Opening Week this fall. The Care Team is also now using Maxient, a web-based system to gather information about incidents on campus (e.g. Title IX, academic dishonesty, behavioral concerns, conduct). This new software allows for quick and easy reporting so our Care Team can intervene and respond as necessary. If you have questions about this new system, please contact Derek Levy.

Budget and aSAP Funding
At its May 23 regular meeting, our Board of Trustees heard an update on our budget process for the next fiscal year, which begins July 1, 2018. We received a total of seven abbreviated strategic action plan (aSAP) proposals, and recommendations on those will go to the Board at its June 27 meeting. Managers have also been entering operational requests into the budget planning system, and the Executive Team is reviewing those requests for inclusion in the budget package to the Board.

The end of the academic year is always a celebration but can also be bittersweet time, with some employees retiring, and many of our students moving on to the next steps in their education and careers.
