Message from President Roberts: Planning for our 2019-20 budget

Dear Colleague,

Now that our tenth-day enrollment numbers are in, we face an enrollment decline for the third consecutive quarter. One theme emerging from the Courageous Conversations is a desire to hear updates from the Executive Team sooner and more frequently, so here is what we know now about our current financial situation.

As of winter quarter, we expect a revenue shortfall in our operating budget of $1.4 million. We currently have sufficient tuition contingency reserve to cover that gap for this year only.

As we look ahead to fiscal year 2019-20, we will need to adjust the budget to remain financially resilient and bring our revenues and expenses into alignment as we assess changes in the way state support is allocated. Here is some information that will help us move forward:

1. The Abbreviated Strategic Action Plan (aSAP) process will be suspended for the 2019-20 fiscal year to minimize any new operational expenses. My hope is that this announcement is being made early enough, before people have invested significant time on any new aSAP proposals. Limited Innovation Fund Grant funding will be available for consideration of projects with an immediate, demonstrated impact on enrollment, retention and completion. More information about this application process will be provided on March 8 during our all-campus gathering.

2. I met with the leadership of the Faculty and Classified Federations and the Faculty Senate on February 7 to share this initial budget information and get their input on this communication. Because the Faculty Federation is currently in bargaining with the Administration, I agree with their decision to focus on advocating for their members and not on setting budget priorities outside of the bargaining table. I look forward to beginning our work with the Classified Federation and Faculty Senate to design a process for identifying 2019-20 budget priorities, along with the Dean Team and the Admin Team.

3. We will hold an all-campus gathering on Friday, March 8 (2:00-3:00 p.m.) in the PUB’s Main Dining Room (#9215) to engage employees in a conversation about a process for moving forward. Given the campus closures over the past two weeks, we will use our regularly scheduled Campus Update to hold this conversation.

4. The College will need to prepare a draft budget by May in order to present it to the Board of Trustees for approval in June.

I am committed to providing appropriate financial and enrollment information to make data-informed decisions, communicating with you regularly about the budget, and collaborating with College leadership to develop a process for adjusting the budget. While we have significant budget challenges ahead of us, I am confident we can address them, as we have addressed other challenges in the past, to ensure a stronger College for our students and for each other.

Gratefully,

Cheryl Roberts, Ed.D.

(in)visibility series: spring quarter submissions due

Submissions are open for the Spring Quarter Event Series- (in)visibility.

The event series is a new, interdisciplinary series exploring what it means to be seen. By framing events under one common theme, we hope to find connections across disciplines/activities and encourage increased collaboration.

This is an exciting new project and we want you to be a part of it! Are you currently planning an event? Have an idea for something you would like to see on campus? Let us know! Event ideas, events in development, and planned events are welcome.

Event submissions are due by Monday, March 18th, and can be submitted via our online form. Contact Kailey Wolf at kwolf@shoreline.edu with any questions or for more information.

Extended Winter Deadlines

Dear employees,

Several key quarterly deadlines in Enrollment Services have been adjusted due to the campus closure days. These dates have been changed on the academic calendar and were emailed to all current students last week (see below). Please be aware of these changed dates and help spread the word to students.

Sincerely,
Batya L. Maring, Ph.D.
Acting Vice President for Student Learning

Dear students,

Because of this unprecedented weather event, we are extending a few important deadlines this quarter. Please see below for revised dates:

  • Last day to submit a pass-option form:
    February 22
  • Winter Quarter graduation application due:  February 22
  • Last day a “W” grade is issued: February 27

Many of you are applying for transfer this quarter, so we will be waiving the $20 fee for same-day transcript requests through March 18, the last day of instruction.

Are you considering dropping a class?

You can drop classes at this point in the quarter, however, you will need your instructor’s signature or emailed permission, and you will be charged a $15 add/drop fee. Dropping will result in a “W” showing on your transcript for withdrawal, and it will not count in computing your GPA.

The last day to drop a course this quarter with a “W” is Wednesday, February 27. After this date, no “W” will be given.

Please check with Financial Aid before deciding to drop a course as your aid may be impacted. An academic advisor is available to assist you, if needed.

Sincerely,
Batya L. Maring, Ph.D.

Financial Resources & Emergency Assistance for students

Dear employees,

We understand that as a result of the recent campus closures, some of our students have missed work, have increased childcare needs, and may have other areas of support that they will seek assistance with when they return to campus. Please familiarize yourself with the following email that was sent to all current students on Thursday so that we can reinforce the resources that are available.

Sincerely,

Marisa Herrera, Ed.D.

Dear students,

With the campus being closed for several days due to the weather, you may have questions about the impact this time away from school and work might have on your financial situation. We want you to know that we are here for you. Here are some short-term financial resources that may be available to help meet your needs:

FOOD AND BASIC NEEDS

The United Way Benefits Hub (in the PUB, main floor) has:

• A Food Pantry with free nonperishable food, fresh sandwiches, fruit, vegetables, toiletries, baby supplies, and clothing (students may also receive a bag of groceries once per week).

• Referrals to other community resources (Orca Lift, SNAP/EBT, Emergency Housing, etc.).

EMERGENCY AID

The Shoreline Community College Foundation offers emergency support for current students who are in a financial crisis that will affect their ability to stay in school.

To learn more about the application process, please contact Alysen Laakso, Scholarship Manager (206-533-6783, scholarships@shoreline.edu, Bldg 1000).

COMMUNITY RESOURCES

If you need additional support with housing, food or crisis services:

• Visit 211.org, a site that shares community information about where to seek additional help.

• Use the Emerald City Guide, which has information about many community-based services.

If you have any other questions about financial resources, please connect with us in the Office of Students, Equity & Success (vp-ses@shoreline.edu). We will also continue to share updated information as available. Thank you!
