ctcLink Updates:

Shoreline Operational Reporting Network (SHORN), which currently includes staff from TSS and Institutional Assessment and Data Management (IADM) has received a number of questions about the report server, so would like to provide answers to a few FAQs.

Why is my report not updated?

The Shoreline Operational Reporting Network is working through a prioritized list of reports from the archived report server.  If you find that a report that you use frequently is not updating with ctcLink data, please submit a Report Request Form, and the team will be in touch about when to expect an updated report.

What about Formstack reports?

Staff from TSS, web support and instruction are working on ensuring that key forms related to enrollment and transcripts (e.g., student grading options, hardship withdrawal, ESL/ABE applications) are developed to meet key deadlines.  If you have a question about Formstack forms or using data from Formstack, please submit a ticket through the Support Center

If you have questions, please visit shoreline.edu/ctclink or our Support Center at support.shoreline.edu

Commencement Updates – Week of May 9

Over the next few weeks, the Commencement Committee will be sharing weekly updates related to this year’s in-person ceremonies that will take place on Saturday, June 18, 2022 at 10am and 2pm.

Commencement Updates – Week of May 9

  • All students graduating in spring or summer 2022 must complete the application to graduate in order to receive their diploma. The deadline for spring 2022 graduates has been extended to Monday, May 16th.
  • Once students have applied to graduate, they are encouraged to sign up to participate in Commencement on Saturday, June 18th.  The deadline to sign up is Monday, May 16th. Students will be invited to attend either the morning or afternoon ceremony depending on their degree/certificate type. Information about this is available on the Commencement website, which is now updated to include information about tickets/guests, ordering regalia, and requesting accommodations.
  • All students participating in Commencement must wear regalia. Cap & gown can be purchased from Jostens by Thursday, May 26th. Students who are concerned about the financial burden of purchasing regalia may rent a cap & gown by e-mailing commencement@shoreline.edu (while supplies last).

We’ll be providing more updates in the upcoming weeks. If you could help to share this information with your students and encourage them to check their e-mail and the Commencement website for regular updates, we would really appreciate it. If you have any questions about Commencement, please e-mail commencement@shoreline.edu.

Message from Phillip King, Vice President for Student Learning, Equity & Success

Dear Colleagues,

We sent a version of this email to all faculty & staff on April 29. As we have now arrived at the Drop for Non-Payment (DNP) date, we want to send you a reminder regarding the DNP process.

What Happened:

The College delayed the start of the DNP process for Spring 2022 to May 11 for students with class activity and May 2 for students with no class activity. Originally, the DNP process was scheduled to run on April 4 & April 11. Going forward, the DNP process is expected to run on the first & sixth business days of each quarter, depending on when students register for courses.

  • On May 4, we dropped 34 students with no payment activity and logged class (Canvas) activity and took steps to ensure their ability to register for future quarters wouldn’t be impacted.
  • On May 11, we dropped 25 students and took steps to ensure their ability to register for future quarters wouldn’t be impacted.

Why:

Due to our conversion to ctcLink, many students were added to the DNP List this quarter for multiple reasons. As the campus community continues to learn how to navigate the new system, we felt it was important to extend grace by ensuring we did not drop students who should not be dropped (and perhaps would not be on the DNP List in a typical quarter).

Here’s How We Reached a Resolution:

  • We organized a workgroup to review all students on the DNP List and conducted outreach to them.
  • We organized these students into different groups based on special population, class (Canvas) activity, and payment activity.
  • In coordination with appropriate departments (e.g., Veterans, Workforce, etc.), we placed Service Indicators on the accounts of certain students.
  • We organized a calling campaign to contact all students on the DNP List to provide them with different funding options, help them navigate our payment process, and connect them to other supports.
  • We messaged impacted students on April 19, 29, & May 9 with info about the DNP process.

A Note on Service Indicators (i.e., Holds):

“Service Indicators” are a feature of ctcLink that, in many cases, we use to place holds on students’ accounts to prevent their enrollment from being dropped for non-payment. Currently, the three types of Service Indicators that Shoreline uses to prevent drops are called R02, F02, and B07.

Sincerely,

Phillip J. King, Ed.D.
