Employee accounts will start requiring login verification on Tuesday, July 26

What’s Happening?

Starting Tuesday, July 26, all employee accounts will require secondary verification when logging in to Microsoft applications. That means when you log in you will be asked to answer a text, phone call, or a prompt in an app to verify that it is you logging in. We call this Multi-Factor Authentication (MFA). Most people will be familiar with this by now since many banks and other organizations now require verification when logging in. We already use it here for some employees.

Why are we doing this?

Scammers and other malicious organizations are intensifying their efforts to break into computers and networks, often by stealing usernames and passwords. Once this happens they can send malicious emails, lock network files, or take over whole systems. When a second prompt is required to log in, bad actors can’t make use of a login name and password because they can’t answer the second prompt. The federal government and the Chief Information Officer for the state of Washington have urged all colleges to quickly increase their security by implementing MFA given geopolitical and other threats, so we are proceeding as are other colleges.

How will this work?

The first time you log into a Microsoft application using your Shoreline network account starting Tuesday, July 26, you will be asked to set up the way you would like to do your secondary authentication. This could be with a text or a phone call, but we recommend using the Microsoft Authenticator app for most people since it will be the easiest to use. Note: some employees are already using MFA, so if you already do this you can expect to see no change.

RESTORED — NETWORK SERVICES OUTAGE

Update on Campus Directory – Who Shows, Outlook Updates, How to Update

What’s happening?

The Campus Directory has undergone some changes as part of our transition to ctcLink. Some features were disabled while the system was retooled to work with the new ctcLink data and HR processes. Some changes have been made recently and more are on the way.

Who shows in the directory?

Full time classified, exempt, and faculty employees always show in the directory. Associate Faculty show in the directory in quarters in which they have assigned sections. Hourly and student employees show in the directory only if a directory approver sets them to show.

How do I change or correct information?

As of the implementation of ctcLink, different parts of a person’s information are set in different ways:

What happens when I submit changes?

Changes you or HR submit in ctcLink will show up in the directory in a few hours. Changes you submit using Update Directory Info are being approved by C&M right now, and soon will go to your Division Approver, or to C&M and HR as a backup if division has no approver temporarily, and will show once someone approves them. HR will identify Division Approvers soon.

Does directory information automatically show in Outlook?

Synchronization of directory information will soon be turned back on. Your name, title, phone number, and office will show in Outlook as they show in the directory. Directory changes appear in Outlook overnight once they are approved.

TSS email delivery change April 11 to prevent unauthorized email senders

Summary

On April 11th TSS will implement a change to prevent unauthorized senders from sending email as Shoreline.

Background

TSS technicians have been working to resolve the issue causing some Shoreline email to go into spam folders, especially for Gmail users. Working with departments across campus, we have identified all valid email delivery systems associated with the college, including our Microsoft Outlook and third party systems such as RAVE, Mailchimp, Salesforce, etc. Starting April 11th we will block email delivery systems from sending as Shoreline if they are not ones we recognize. This will impact any third party email delivery systems that are unknown to TSS. If you have implemented email systems unknown to TSS or believe you are affected by this change, please submit a support request at https://support.shoreline.edu.
