Annual fire alarm testing

Dear Colleague,

Safety & Security and Johnson Controls will be conducting a mandated annual fire alarm testing throughout the entire week of August 27th-September 3rd.

On Tuesday, August 27th starting at 8 a.m., the fire alarm inspection team will be going building to building to activate each individual fire alarm to inspect the horn signals and strobes. The alarm sound activation will only last a short few seconds and, once the technician is able to inspect the entire building, they will then shut off the alarm and return the system back to normal mode.

Free parking days Fall Quarter 2019

There will be designated free parking days that occur on campus at the start of each quarter.

For Fall Quarter 2019, the free parking days will be: August 26th-October 2nd, 2019.

Safety & Security will post signage on the parking machines on these days.

Note: Vehicles parked illegally will still be cited.

Financial update and special kudos from Interim CFO Bill Saraceno

As you are aware, the College has been working on two major initiatives related to finance and budgeting – our annual audit by the State Auditor’s Office and our financial year-end closing.

Regarding our audit, we have been patiently waiting for our State Auditor to arrive on campus to audit our 2015-2016 Financial Statements (this is in accordance with the plan I had shared with you earlier this year). On Monday, August 5, 2019, I heard from Wendy Choy (our lead auditor) that due to constraints on their end, they are moving the 2015-16 audit process out to the week of October 21-25, 2019. While this delay means we will not have our 2015-16 Financial Statement audit complete before the start of Fall quarter, the silver lining to this delay is that the State Auditor will be able to perform a three-year audit (rather than just one year at a time) when they arrive in October. While this delay is not ideal, the new plan is probably cheaper. Most importantly, this keeps the College within our original target for a year-end finish for 3 years of audited financial statements.

Regarding the year-end closing, the Financial Services and the Budget Office teams have completed the process related to the FY 2018-19 financial data. After receiving and assessing each college’s financial data tied to year-end closing(s), the State Board for Community & Technical Colleges (SBCTC) then provides a report that identifies entries/transactions which have caused errors so that each college is able to make final corrections during the month of July. I am pleased to report that Shoreline Community College received notice that zero errors were found in the financial data submitted–allowing us to finalize the FY 2018-19 closing almost two weeks ahead of the state schedule. This is an almost unheard of achievement, with well- deserved kudos to our administrators and staff in Financial Services and the Budget Office for their tireless work to submit impeccably clean financial records.

I am very pleased with this news and the work to ensure that we are moving forward to demonstrate fiscal solvency.

IT Security Awareness Training

It is that time of year for IT Security Awareness Training!
Starting next week, you will receive a message with a link to the SANS Securing the Human Security Awareness Training. All Classified Staff and Administrators will have received an email with the link no later than Wednesday, August 21st, 2019. If you have not received the link by this date, please contact Ric Doike-Foreman (jdoikef@shoreline.edu ) letting him know you did not receive the email.

Classified Staff and Administrators are required to complete this training during work time.  Supervisors are required to allow staff the necessary time to complete this training by the due date.  The time required to complete this training is approximately 50 minutes and consists of 12 modules.  All modules must be completed by October 31.

I would like to take a moment to emphasize the importance of this training by bringing to your attention the following:
The most common cause of data security compromise at the college is due to human error as a result of users falling victim to phishing scams. To date we only have suffered minor inconveniences from compromised accounts being used to propagate spam or phishing email. The possibility of a much more severe attack, such as ransomware, in which attackers encrypt your institutional data and demand payment for its recovery, is very real. There have been a number of high profile attacks in the news lately and schools’  systems are not immune. The Washington State Office of the Chief Information Officer (OCIO) requires that all employees receive annual security awareness training (Policy 141.10, Section 1.4(3)) in order to reduce the likelihood that you will become the entry point of such an attack. To be safe, always treat email messages with a degree of skepticism and question anything out of the ordinary. When in doubt, contact Technology Support Services (tss@shoreline.edu).

Message from President Roberts: Update on temporary appointment for the VP of Business & Administrative Services position

Dear Campus Community,

My sincerest appreciation to all involved with the process over the course of the past few weeks related to the temporary appointment for Vice President for Business & Administrative Services (VP-B&AS) position. Unfortunately, we were not able to make a successful hire for this position.

We will continue to look at options for filling the VP-B&AS position going forward and will keep the campus apprised.
