Notice of Public Meeting Changes – October 27, 2021 Board of Trustees Meeting

NOTICE OF VIRTUAL SPECIAL MEETING
The Shoreline Community College Board of Trustees will hold a special meeting on Wednesday, October 27, 2021 commencing at 4:30 PM with a special session. (Note: No study session is scheduled to precede the 4:30 PM special session.) The business is/will be posted to www.shoreline.edu… by 4:30 PM on Tuesday, October 26, 2021. The October 27, 2021 special meeting will be recorded and the video, available, when Board materials are posted for the next regular meeting on December 1, 2021.

The agenda for this special meeting includes the Board’s usual regular meeting agenda. Due to COVID-19, Governor Inslee’s restriction on in-person public meetings, continues. Therefore, access to this meeting will take place in a virtual space. To comply with open meeting notice requirements, the previously scheduled regular meeting at the campus is cancelled and a virtual special meeting is being added.

College Updates, Week of October 18-22, 2021

Dear Shoreline Staff,

Return to Campus/COVID-19 Communications 

Beginning January 3rd, 2022, all services will be required to operate on campus for Winter. The expected hours of service will be Monday-Thursday 8 am-5 pm, Friday 8 am-noon. Admin exempt will continue to be required to be on campus three days per week and classified staff will come back three days per week. Due consideration will be given to the potential impact of this transition on employees and managers have the responsibility to assign staff schedules.   

·         Reminder: beginning October 25, 2021, people ages 12 and older will be required to show proof of full COVID-19 vaccination or a negative test result to enter certain indoor and outdoor events and establishments in King County, including some events open to the public on campus. See what to expect.  

·         Any new employee, new on-site contractor, or new on-site volunteers will be required to provide proof of COVID-19 vaccination status or documentation of eligibility for a religious or medical exemption as of October 18, 2021, forward. 

·         PA systems available to those who may need voice amplification while teaching or presenting on campus while wearing a mask. 

·         Closed building signage template add your specific content and post to your closed building.

The Winter 2022 Class Schedule will be printed and distributed on November 2, 2021.

User Acceptance Training (UAT) needs to be completed by 10/27/21. A detailed schedule will be shared with teams. Please ensure that your team has coverage planned for training and testing periods.

Fall 2021 Starfish Update 

What’s coming next: Winter 2022 will bring many exciting developments: the student portal will open on January 3rd, at which time students will book appointments with advisors directly in Starfish. Throughout winter, we’ll focus on supporting student usage of Starfish and making technical updates as we transition from HP3000 to ctcLink.  Throughout the year, you can expect to hear more about Starfish via quarterly DAAG announcements and at presentations in divisional meetings.

Messages from your Shoreline email may not be getting through to Gmail users

What’s happening 

Gmail has recently started assigning shoreline.edu emails a low reputation. This makes it so that many of the messages sent from our shoreline.edu email accounts go straight into the recipient’s SPAM folder and they never see them. The messages are usually flagged in Gmail as follows: 

Does this affect student go.shoreline.edu accounts? 

No. Our student go.shoreline.edu email addresses are based in Gmail, but we have the ability to “whitelist” messages from shoreline.edu, so our messages do usually get through to those student email accounts. It’s other Gmail accounts that sometimes don’t receive our messages. 

Why is this happening? 

Google is not perfectly clear in their explanations, but we have identified that malicious email senders sometimes send email claiming to be from shoreline.edu. When users mark those as SPAM it damages our reputation. 

There are other potential contributing factors, involving how we send marketing messages, the times Shoreline users have fallen victim to phishing attacks causing their email accounts to send out SPAM, and the number of software systems we have that send email using our domain. We are working on a number of college-wide responses in addition to the technical changes below. 

What’s the solution? 

TSS has been working for months to secure Email transmission using Internet standards such as SPF, DKIM, and DMARC and by reviewing and modifying Spam Control Lists, Whitelists, and implementing stricter Quarantine, SPAM, and Phishing filters.  

Restoring our email deliverability has been elevated to a top priority for TSS but results may not be immediate. Recently we acquired a technology service that lets us that lets us identify non-Shoreline senders using our mail domains and eliminate or limit their ability to impersonate us. In addition, TSS is also utilizing services that track domain reputation, IP reputation, delivery rate failure, and SPAM reports. These tools and processes will allow us over time to restore our mail reputation and increase the deliverability rate of our emails to external addresses. 

What can I do now? 

If you have the ability to communicate with people who have Gmail accounts ahead of time, you can ask them to check their SPAM folders. When they find your message, they can click “Report not Spam” to get the message to be delivered and make it more likely they will get future messages. They can also add your address as a contact or create a rule to ensure delivery of your messages. 

If you have messages that must get through such as messages to job applicants or newly accepted students we can temporarily assign you a go.shoreline.edu email account. Since that is a Gmail account, messages you send from there will typically get to their recipient. To request that, email tss@shoreline.edu

Wave of Gratitude to Vlad Riazanov Student Engagement

The student came in just as the library was closing and needed software on a computer for an assignment. The library contacted Vlad and he stepped up to make it happen for this student so they could meet their assignment deadline. Way to go Vlad for making a difference in this student’s experience at Shoreline! Mary Blanchett, Lauren Bryant, and Brien Dickey at the library were helping this student. We all appreciate having a great team with Vlad on our side! – Lauren Bryant
